Reporting to the Director, this position has direct oversight and is accountable for the effectiveness of internal operations as well as the administration, logistics, tracking, external reporting, and coordination of the various aspects of the Communal Security Initiative. Under the direction of the Director of CSI, the Program Manager will assist in the design and delivery of CSI resources and services to leadership and members across the 250+ organizations in CJP’s local ecosystem and additional regional partners and is responsible for working within the context of the Communal Security team to ensure the team meets internal organizational goals and targets as well as targets set by team members or donors associated with each project. S/he must be capable of managing multiple projects under tight deadlines all while maintaining an unflappable demeanor.
 

The role of CSI Program Manager also demands that the individual be highly organized and experienced in working in a matrixed organization. This Program Manager must be able to hold themselves and others accountable for deadlines as well as work closely with stakeholders inside and outside of CJP to ensure resources and access to needed supports and expertise are delivered on-time and on budget. The Program Manager needs to be very detail oriented, pro-active and a self-starter who thinks ahead to anticipate, prepare for and respond to needs, challenges and changes as and before they arise. The Program Manager needs to be able to deliver and respond in a timely manner working in what is sometimes a fast-paced environment with quick turn-around.


The position will entail working with team members, superiors, and external partners in the the Boston area and in the region.
 

Essential Functions:

  • Oversee logistics and administration for the Communal Security Initiative and all connected projects. Responsible for coordinating with other administrative staff to ensure that logistical tasks are completed correctly and on time.
  • Develop a good working relationship with respect to logistics with internal and external partners at all levels to ensure the smooth functioning of projects (Finance, Development, DSI, Marketing, Strategy & Impact). Expected to achieve this by engaging in an organized effort to develop solid working relationships with CJP colleagues and develop a comprehensive understanding of the internal workings of CJP as well as CJP’s relationships with partner organizations.
  • Work with internal partners in Development to ensure that accurate and up to date information is conveyed in a timely fashion.
  • Coordinate with the Marketing department to ensure that CSI materials are consistent in terms of content and appearance and are distributed to internal and external partners to meet existing and emerging needs. Manage and update CSI website, prepare press information for CJP Communications, update social media as appropriate and in consultation with internal partners.
  • Manage logistical and operation tasks relating to contractors to include billing, finance, distribution of work, contract renewals and ensuring task tracking and completion. Serves as initial point of contact for contractors, resolves issues, and consults with the Director when needed.
  • Develop and maintain solid working relationships with administrative and logistical staff at partner organizations to facilitate training, disbursement of grants, board briefings, meetings with key constituent groups, consultations, and other critical services as needed.
  • Responsible to manage trainings including coordinating with speakers, facilitating event logistics, developing and/or collecting materials, and communicating with partners and event sites. Manage relationships with outside vendors and serve as internal and external liaison to ensure smooth facilitation of the delivery of goods and services, payments, and contractual obligations.
  • Edit and update existing PowerPoint presentations.
  • Create reports for stakeholders based on data from project outputs and outcomes and the budget.
  • Prepare and manage budgets of the projects associated with the initiative.
  • Meet deadlines for all processes associated with the initiative, including budgeting, internal reporting and liaising with Development professionals.
  • Within budgeting and allocations process, advise team on projections, refine systems as necessary.

Requirements
Education:
Bachelor’s degree required


Experience:
5 years of experience working and demonstrated success managing administratively complex projects and working with a wide variety of organizational levels and personalities.

Organizational Relationships/Scope:

  • Reports directly to Director, Communal Security
  • Supervises administrative staff.


Working Conditions:

  • Remaining in a stationary position, often standing or sitting for prolonged periods, much of which will be working at a computer.
  • Must be able to lift up to 25 pounds.
