Responsible for management of accounting and technology staff and systems, internal and external financial reporting, audit, budget, financial policies and procedures. Works directly with lay leadership by staffing the Finance Committee, supporting the Planning & Funding Committee and attending meetings of the Board of Directors. Serves as a member of JFFS’s executive leadership team and participates in key decisions pertaining to strategic and tactical initiatives, operating model and operational execution.


  • Finance
  • Develop, monitor, and update Fiscal Policies and Procedures Manual
  • Review and implement any needed changes in financial and information systems
  • Manage the development, preparation and approval of the annual JFFS budget
  • Assist staff in developing annual department and program budgets
  • Consolidate all staff input into overall JFFS budget
  • Assist Treasurer in developing budget presentations for Finance Committee and Board of Directors
  • Develop recommendations for streamlining operations, reducing costs and improving cash flow
  • Assist staff directors to track income and expenses and compare to budget
  • Ensure timely preparation of monthly and end-of-year financial reporting
  • Income statement with comparisons to budget
  • Balance sheet with comparisons to prior period
  • Cash flow forecast
  • Ensure timely preparation of bi-weekly payroll
  • Work with Human Resources Manager to coordinate any employee information changes
  • Manage cash flow
  • Manage accounts payable disbursements and ensure checks are signed appropriately and 1099’s are generated on a timely basis
  • Review cash receipts and develop and implement a comprehensive cash collection plan
  • Maintain control of all fixed assets and implement and monitor a Fixed Asset system
  • Ensure accurate and timely posting of all fixed asset related transactions (e.g., depreciation)
  • Develop, administer, review, and monitor Finance Department office procedures
  • Manage preparation and support for all external audits and annual tax returns, and serve as primary point of contact for all external auditors
  • Oversee JFFS’s banking relationship and ensure timely reconciliation of bank statements
  • Working with the Community Foundation, bank or other external advisors, manage JFFS’s investments
  • Ensure that all special projects and reports are completed on a timely basis, providing financial input for all such reports as needed
  • Support the Planning & Funding Committee
  • Review allocation process, compliance and monitor allocation disbursements
  • Staff the Finance Committee
  • Present monthly financials to Finance Committee
  • Perform any special analysis or reporting requested by Finance Committee
  • Attend Board and Executive Committee meetings
  • Attend Annual Meeting and represent JFFS in the broader community at events and meetings
  • Hire, develop and supervise all accounting staff


  • Evaluate all insurance policies annually and insure that appropriate endorsements and coverages are in place
  • Work jointly with Human Resources Manager to evaluate, recommend and negotiate with employee benefits vendors


  • Supervise all IT contractors
  • Monitor all computer upgrades and conversions
  • Coordinate all technology purchases and planning (Office automation and computer oversight)
  • Monitor the usage of services
  • Oversee all office equipment
  • Develop and implement a disaster recovery plan
  • Perform annual due diligence on all external vendors of information services to ensure that they maintain adequate security protocols on all hosted JFFS data

Donor Database and Annual Campaign


  • Supervise statistical campaign reports for professional staff
  • Supervise the production of pledge cards
  • Supervise the processing and printing of reminder statements on a quarterly basis
  • Generate tax letters in January
  • Advise staff on pledge/payment/accounting/database procedures
  • Train staff on DMS procedures as appropriate for their job, field database questions from staff

Annually in collaboration with Donor Management System (DMS) Administrator:

  • Assist in the design of pledge cards
  • Set up new fiscal year structure (Annual & Others)
  • Set up new fiscal year fund (Annual & Others)
  • Set up new fiscal year campaign & corresponding appeals (Annual & Others)
  • Create ad hoc Exports for new fiscal year Campaign
  • Create Groups for new fiscal year
  • Clean-up ad hoc Exports and Groups
  • Link new Acknowledgement letters to Database

Human Resources

  • Review all staff additions, terminations and status changes
  • Ensure such changes are accurately reflected in the Payroll system (Paychex)


  • Bachelor’s degree in accounting or related field
  • CPA preferred
  • 8+ years of experience in accounting or financial management positions
  • Prior experience with non-profits preferred
  • Excellent computer skills and experience with donor databases
  • Prior experience supervising IT functions, including successfully overseeing implementation of new IT systems
  • Outstanding attention to detail and oral and written communications skills
  • Superb ability to operate effectively and with good judgment in ambiguous situations
  • Self-starter and problem-solver with excellent interpersonal skills who can effectively work with a wide variety of people at all organizational levels
  • Thorough sense of professionalism
